• NEW PROCESS FOR INVENTORYING CONSUMABLE INSTRUCTIONAL MATERIALS AND DELIVERY TO SCHOOLS

    Given our ongoing focus on implementation of adopted high-quality instructional materials and our current budget context, we are evolving our process for receiving consumable instructional materials. We are asking for building leaders to take a more active role and ownership over this process. We are dividing the process into two steps outlined below. 

    As a reminder, use of adopted curricular materials is required and use of the associated student consumables is highly encouraged. Please refrain from copying and printing resources that are available in the provided student workbooks.

    Step 1: 

    Site Level Inventory of Consumable Instructional Materials (by May 1st).

    The process is as follows:

    1. Complete the appropriate inventory sheets below. Print off the document by grade band for your site and complete the document. This can be completed by any role at the school site.

    Grades 6-8 Refresh Consumables Inventory Sheet 
    Grades 9-12 Refresh Consumables Inventory Sheet 

    2. Instructional Leader reviews and confirms the current inventory.

    • Note: An Instructional Leader at your site (Principal, AP/VP, or Instructional Coach) should review the current inventory and sign off prior to this being submitted to Textbook Services. 
    • Using the completed Inventory Sheet as your guide, enter the Student Count and Current Stock numbers for each title, and upload a signed copy of the Inventory Sheet into one of the appropriate google forms below.

    K-5 Principals: Please review enrollment numbers for instructional materials in DLI sections. If you are opening new classrooms for the 2024-2025 school year, please email textbooks@pps.net with your anticipated needs ASAP.     6-8/DLI Principals: Please review enrollment numbers for instructional materials in DLI sections. The Middle Grades Core Academics team will be working closely with the Textbook Services team to match course codes with student enrollment in courses and overall refresh needs. 

    9-12 Principals: The High School Academics team will be working closely with the Textbook Services team to match course codes with student enrollment in courses and overall refresh needs. 
    Inventory Forms are due by May 1st. 

    Textbook Services will begin sending reminders and working directly with Instructional Leaders (Principals/APs/VPs and Instructional Coaches) at each site thereafter to ensure schools have materials at the start of the school year. 

    Step 2: 

    Textbook Services and the K-12 Academics team will then use the data from the inventorying to guide the refresh process. 

    This timeline and process will allow for schools to receive the needed consumable instructional materials without the need for the previous request process. Within the current budget context, this will ensure we do not over order and that we can fully capture and utilize our existing inventory.
