Staffing Management Tool
The Staffing Management Tool (SMT) is a series of custom PeopleSoft pages that allow administrators to view and make changes to departments’ staffing throughout the year, and central staff to review those changes and put them into motion. This page is an overview of the budget-related aspects of the SMT; you can find training materials and quick reference guides using the links in the Resources section of this page.
The module includes four main pages, accessed by searching for a department/location combination in a specific fiscal year:
1. Staffing Summary lists a department's staff and vacancies, organized in Filled and Vacant Position sections. Users view or change details on an individual workpage by clicking the triangle corresponding to the specific position.
2. Limited Term Staffing Summary lists a department's Limited Term and Summer employees, organized in Filled and Vacant Position sections. Users view or change details on an individual workpage by clicking the triangle corresponding to the specific position.
3. Funding Summary provides the same information as the Staffing Summary but is separated out by funding group and organized by chartfield (hence split-funded positions appear multiple times). Users may access the same editable workpages using the triangle icons.
4. Allocations & Balances for each funding group can be viewed on the page of the same name. This page, in addition to the Staffing Summary page, contains the all-important APPROVE & SUBMIT button, which administrators must click after making changes in order for them to take effect.
Several staffing reports with varying degrees of detail are also easily accessible from PeopleSoft’s Workforce Reports menu, under Workforce Administration, providing a point-in-time snapshot or a history of changes made.
